Refund Policy

Important: Due to federal and state regulations governing compounded medications, most medication orders cannot be returned or refunded once dispensed and shipped. Please read this policy carefully before placing an order.

1. Consultation & Membership Fees

AvataCore charges consultation and/or membership fees for access to our telehealth coordination platform and licensed healthcare providers.

  • Before provider visit: If you have paid a consultation or membership fee but have not yet been seen or evaluated by a licensed healthcare provider, you may request a full refund of that fee.
  • After provider visit: Once a licensed provider has reviewed your intake, conducted an evaluation, or issued a clinical determination (whether or not a prescription is written), consultation and membership fees are non-refundable, as the medical service has been rendered.

2. Medication Orders

Our compounded medications are prepared specifically for each patient by a licensed 503B outsourcing facility or compounding pharmacy. Due to FDA regulations and patient safety requirements:

  • Dispensed medications cannot be returned. Once a compounded medication has been dispensed and shipped, it cannot be accepted back, restocked, or reused for another patient. This is required by FDA regulations governing compounded pharmaceuticals.
  • Shipped orders are non-refundable. After your medication has been shipped (tracking number issued), refunds are generally not available for medication costs.
  • Orders not yet shipped: If your medication has not yet been dispensed or shipped, you may request cancellation and a full refund of the medication cost.

3. Damaged or Incorrect Orders

If your medication arrives damaged, defective, or is incorrect (wrong medication or wrong dosage), please contact us within 72 hours of delivery. We will arrange for a replacement shipment or issue a refund at our discretion. You may be asked to provide photographs of the damaged or incorrect product.

4. Refund Request Window

All refund requests must be submitted within 30 days of the original charge date. Requests received after 30 days may not be eligible for a refund.

  • Your full name and email address associated with your account
  • Date of the charge
  • Reason for the refund request
  • Order number (if applicable)

6. Processing Time

Approved refunds will be processed within 5–10 business days and credited back to the original payment method. Depending on your bank or credit card issuer, it may take an additional 5–10 business days for the refund to appear on your statement.

7. Subscription Cancellation

You may cancel your AvataCore subscription at any time. Cancellation will take effect at the end of your current billing cycle. No refunds are issued for partial billing periods. To cancel, contact us at [email protected] or through your patient portal.

8. Chargebacks

We encourage you to contact us directly before initiating a chargeback with your bank or credit card company. We are committed to resolving disputes promptly and fairly. Filing a chargeback without first contacting us may result in delays and additional verification requirements.

9. State-Specific Rights

Certain states provide additional consumer protection rights:

  • California: Under the California Consumer Legal Remedies Act and California Civil Code § 1789.3, California residents may contact the Complaint Assistance Unit of the Division of Consumer Services of the California Department of Consumer Affairs at 1625 North Market Blvd., Suite N 112, Sacramento, CA 95834, or by telephone at (800) 952-5210.
  • New York:New York residents may contact the New York State Attorney General's Office, Consumer Frauds Bureau, at (800) 771-7755.
  • Other States:Residents of other states may have additional rights under applicable state consumer protection laws. Please contact us or your state attorney general's office for more information.
